Reporting to the Events and Security Manager, you'll play a key role in preparing our school grounds and facilities for events — from assemblies and sports days to concerts, ceremonies, and community functions — making sure everything is set up, packed down, and running smoothly behind the scenes.
This is a practical, on-the-ground role suited to someone who enjoys physical work, takes pride in getting the details right, and is comfortable working within a school, not-for-profit, or educational environment where courtesy and professionalism matter.
Job Description
Ngā kawenga | Key responsibilities
Event preparation and pack-down
● Assist with the setup and dismantling of event equipment, furniture, signage, marquees, and barriers ahead of and following school events
● Prepare venues and outdoor spaces to a high standard, ensuring everything is ready well ahead of guest arrival
● Support the pack-down and storage of equipment, ensuring gear is returned in good order and ready for next use
Traffic and access management
● Support parking and vehicle access arrangements, directing traffic flow and pedestrian movement to keep events safe and orderly
● Assist with managing entry points and directing visitors, contractors, and vehicles around the venue
● Monitor crowd movement and density to support safety and smooth pedestrian flow
Event day support and customer service
● Provide a friendly, helpful presence during events, offering directions and assisting attendees with seating and facilities
● Respond promptly to any incidents or safety concerns, documenting and reporting in line with procedures
● Support emergency procedures such as evacuations, lockdowns, and fire drills as required
Campus and operational support
● Assist with internal campus logistics such as the delivery and distribution of mail and packages across the school site
● Conduct routine checks of event areas ahead of and during events to identify hazards or issues early
● Follow all health and safety procedures and event management plans to ensure a safe environment for all
Desired Skills and Experience

● Previous experience assisting with event setup, pack-down, or operations — ideally within a school, not-for-profit, or other community or educational setting
● A practical, can-do approach and willingness to get stuck into physical work
● Good judgement and a calm, professional manner, with an understanding of the etiquette expected in a school environment
● Strong communication skills and a genuine customer-service focus
● Confidence directing traffic and managing vehicle and pedestrian flow
● Physical fitness to lift, carry, and be on your feet for extended periods
● A clean criminal record (required)
● First aid or emergency response training — advantageous
● A valid security licence — advantageous, but not essential
